Add and manage users
Invite users one at a time or by CSV, edit them, and keep your roster current.
User Management is where org admins control who’s in the organization and what role each person holds.
Before you start
You need the admin role. User Management lives under Manage → Admin in the left navigation.
Add one user
- Open Admin → User Management and select Add.
- Enter their first name, last name, and email, and choose a role. See Understand roles and permissions.
- Save. The person can now sign in with that email (password, secure login link, or your SSO).
Add many users by CSV
- From User Management, choose the CSV import.
- Build your file with the columns First Name, Last Name, Email, Role, Language, plus a column for each custom attribute your organization has defined.
- Upload and review the preview. The importer flags rows with problems before anything is saved.
Emails are the identity key, so use each person’s real work address, spelled once, consistently.
What people receive when you add them
Everyone you add to the organization gets an email saying they’ve been added, with a Sign In button and your name as the admin who added them. This applies however they’re added: one at a time, by CSV, or through another roster screen such as a cohort or a survey’s sharing. Someone who was already in your organization, or is being reactivated, doesn’t get it again.
If the person already has a LeaderFactor account in another organization, they’re added to yours and your organization appears in their list of accounts when they sign in. Their existing account isn’t changed. See Switch between organizations.
Edit a user
Select a user from the list to change their role or attributes.
- Name and language can be changed only for people who belong to your organization alone. If someone also belongs to another LeaderFactor organization, only LeaderFactor staff can edit them.
- Email can be changed only by LeaderFactor staff. People can change their own sign-in email from Settings. See Manage your account settings.
The bottom of each user’s details shows Account activity: when they were added to, reactivated in, or removed from your organization, and when their profile was edited, with who made each change. You see only your own organization’s activity.
Deactivate or remove a user
When someone leaves, deactivate them and free their license seats. See Manage license seats. A deactivated person no longer sees your organization when they sign in, and you can reactivate them later.
To take someone out of your organization entirely, for example a person added by mistake, open their details and select Remove from organization, then confirm. This permanently removes them from your organization only. Their LeaderFactor account and anything in other organizations are not affected.
