Share survey results

Give someone access to a PSindex survey's results, either the whole survey or only the slice they need, without making them an admin.

Last updated October 19, 2026

An HR partner or division leader often needs to see PSindex® results for their part of the organization, and nothing else. Share the survey with them. Sharing is the access: there’s no separate analyst role to assign, and the people you share with don’t get any admin menus.

Before you start

You need the admin role and a PSindex survey. Admins already see every survey’s results.

Share a survey

  1. Open the survey and select Share.
  2. Use Search people, or paste addresses to find the person and add them. Search covers your organization’s members and this survey’s participants, including participants who don’t have an account yet.
  3. Choose what they see:
    • Full access shows the whole survey.
    • Custom scope limits them to a slice, such as one department. Create the slice with Add view.
  4. Select Save.

To remove someone, select the x on their row and save. They lose access right away.

Choose a view

Select Add view, then pick What they’ll see:

  • One group shows one value of an attribute, such as Department · Sales. Everyone ticked in the column sees the same slice.
  • The group they belong to shows each person the group their own row falls in, such as their own department. The column reads “Department · the one they belong to”.
  • The team they lead shows each person everyone below them in the org chart. It’s offered only when the survey has an email-based org chart, and it always uses the chart’s leader column, such as Manager Email. The column reads “Manager Email · the team they lead”.

Results stay hidden for a slice below the survey’s response threshold, so a leader with a small team sees an empty page.

Add people to a column from a file

To give many people the same view, upload a list instead of adding them one at a time.

  1. Select the upload icon in a column heading (Add people to [column] from a file).
  2. Choose a CSV file with an Email column and, optionally, First Name and Last Name. A plain list of addresses with no header works too.
  3. Check the message that confirms how many people were added and how many rows were skipped.
  4. Select Save.

Everyone in the file lands ticked in that one column. A file only adds people; it never removes anyone. For people already in your organization or on the survey, their existing names are used. A file can hold up to 2,000 people.

Give leaders their own team

The People leaders card lets each leader see results for their own downline, so one setting covers every manager. It’s off by default. Turn it on with Change in settings. To give only some leaders their team, add a The team they lead view instead and tick just those people.

This needs a Manager Email column in your participant file. Without one, the Sharing page tells you to add it. See Set up attributes and hierarchies. If a leader’s team looks wrong, select Fix the org chart. See Fix your survey’s org chart.

Preview what someone will see

Check a scope before anyone opens it. Previews work before results are released.

  • Select Preview on the People leaders row, search for a leader, and pick one. The results open exactly as that leader will see them, with a banner at the top. Select Exit preview to return.
  • Select Preview in a column heading of the sharing grid to see that scope. Save your changes first.

When shared results become visible

The line at the top of the Sharing page shows whether access is open and whether an email goes out when it opens. People you share with see results only while access is open. Access opens when the survey closes or on a later date you choose, never before the survey closes. Admins can always see results. Change it with Change in settings.

Confidentiality still applies to everyone. A group with fewer responses than the survey’s threshold (default 3) shows no results. See Read the heatmap.

People you share with can also make their own debriefs for any group within what they can see. See Run a PSindex debrief.

Share each new survey

Sharing is per survey. Someone who can see last year’s results won’t see a new survey until you share it with them too.
